The College of Education, Human Performance, and Health Department of Education Administrative Assistant is to perform a variety of administrative duties in the operation of the Department of Education with a faculty of 18 full time faculty, approximately 15 adjunct faculty, and its students, all done with a high level of organization.
• Job tasks related to the administration of the Department of Education: Acts as primary administrative support for the Chair of the Department of Education. Executes duties associated with the administration and support of the department such as the creation of student files, the assignment of faculty advisors/mentors, scheduling of rooms and catering for education department events, and mileage reimbursements for faculty travel associated with field experience courses. Directs prospective student inquires to the Chair. Support daily operations of the department and tasks assigned by Chair. Processes paperwork/tasks associated with TAPS (such as travel and reimbursements). Documents department meeting minutes. Makes purchases for the Department and assists in the reimbursement of departmental purchases made by the chair.
• Job tasks related to administration of field experiences: Acts as primary administrative support for the Director of Field Experiences. Collects and tracks data from field experiences and student teaching placements. Maintains an up-to-date database of student clearances and communicates to students when they are out of compliance. Enters Education Department certification completer information into the SC State Department of Education online portal for recommendation for certification. Prepares and distributes appropriate professional development credit letters to cooperating teachers of field placements and student teachers. Collects and files MOUs associated with field placements.
• Job tasks related to the professional program: Maintains and updates the process for student applications to the professional program (i.e. information provided on the Spartanhub and formstack form). Processes applications for the professional program, curates required documents from students for admission to the professional program, maintains a database of students that have applied to the professional program, and communicates to students when applications are incomplete. Provides the chair with upcoming applicant information between semesters. Prepares letters of acceptance or denial, dismissal, or readmit to Professional Education Program.
• Job tasks related to grant administrative support: Provides grant administrative support for education faculty that includes, but not limited to, data gathering and purchases/reimbursements as well as serving as Program Card liaison for the Department. Processes paperwork/tasks associated with TAPS and SARS grants (such as travel and reimbursements).
• Other duties as assigned by Dean or Chair of the Department of Education, including but not limited to serving as backup to other administrative assistants in times of high volume and providing assistance in coordination and execution of special events.
Minimum Qualifications: Bachelor’s degree, or high school diploma and 4 years work experience that is directly related to the area of employment; or equivalency. Successful background check is required.
Preferred Qualifications: Bachelor’s degree and 2 years related experience in business management, administrative services, or related field preferred.
Salary: $37,735 – $45,922; Salary commensurate with education and experience.
