ADMINISTRATIVE ASSISTANT (PART-TIME)

ABOUT THE MAIN STREET DISTRICT
The Main Street District (MSD) is the nonprofit entity created in 2001 to provide public space management, economic development, marketing services and public advocacy for the 36-block area bounded by Gervais, Elmwood, Assembly and Marion Streets in downtown Columbia, SC.

We’re seeking a part-time Administrative Assistant/Office Coordinator to help with the planning, coordination, and implementation of specific programs, activities, policies, and procedures of the organization’s downtown management efforts. This position reports to the VP of Development and Administration.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES
-Greets visitors and staff in a friendly, helpful manner.
-Answers, screens and directs incoming calls, and provides general information about MSD over the phone and in-person. Tracks follow-up actions.
-Updates and maintains database records for MSD programs, board and committee members, downtown property owners and merchants, government officials and business leaders.
-Manages and updates mailing lists.
-Coordinates schedules and maintains MSD calendar, including arranging appointments and meetings for the President & CEO and other management staff.
-Organizes, sets-up and breaks-down MSD hosted meetings held on or off-site. This includes scheduling meeting space, sending meeting notices, preparing minutes and agendas, providing reference material to participants, making reminder calls, and setting out and clearing up refreshments.
-Performs general office duties such as maintaining files, handling incoming and outgoing mail, ordering office supplies, making copies, overseeing maintenance and servicing of office equipment.
-Maintains financial records including accounts payables and expense reports, fills out deposit slips and makes banking deposits.
-Completes administrative duties and special projects as assigned and provides supportive assistance to President & CEO and across the organization as needed.
-Assists with planning and executing the MSD Annual Meeting.
-Performs a variety of office support tasks and/or secretarial duties, such as preparing and editing communications, including memos, emails, reports, and other correspondence.
-Maintains a welcoming and inviting entrance and reception area. Keeps office organized for both staff and visitor use.

EDUCATION/EXPERIENCE:
-High School education or equivalent required. Associate degree or higher preferred.
-Minimum of one year of work experience in an office setting.
-Excellent computer skills with proficiency in MS Outlook, Word, Excel, PowerPoint and QuickBooks.

PREFERRED SKILLS:
-Excellent administrative/organizational, time management and customer service skills.
-Strong sense of personal responsibility and reliability, with the desire to work as an integral member of a team.
-Excellent verbal and written communication skills.

PAY:
$16 – $18 per hour

HOURS:
Approximately 25 hours per week
