Reporting to the Associate Director for Housing Administration and Business Operations, the Assistant Director for Housing Operations and Communication plays a vital role in overseeing all major functions of housing occupancy management. Responsibilities include the housing contract process, summer conference assignments, strategic planning of residence space utilization, communications and information technology functions related to housing, and establishing departmental customer service policies and procedures.
• Develops and maintains comprehensive knowledge of housing database systems, including housing and billing processes, creation of applications and forms, and housing selection processes.
• Prepares and maintains accurate occupancy records, reports, and procedures for university housing.
• Assists with student housing billing processes, including posting and auditing daily transactions.
• Managing and making independent decisions regarding the returner housing process (applications, assignments, waitlists).
• Serving a critical role in customer service and de-escalation, handling concerns from students and parents regarding student housing matters.
• Utilizes housing software databases, Microsoft Excel, and data dashboards to create and analyze reports.
• Coordinates the early arrival and late stay processes in collaboration with campus partners.
• Maintains accurate records and assists with roster verification process.
• Processing student housing contract requests and overseeing university policy enforcement of residency requirement.
• Serves as a backup to the Associate Director for Housing Administration and Business Operations.
• Markets Housing and Residential Life program with an emphasis on new students and the retention of on campus students.
• Create and update market-specific publications.
• Manage and improve Residence Life and Housing’s web site, portal page, and social media accounts.
• Manage targeted messaging to residential students including opening and closing information.
• Promote the department through storytelling in web, print, and social mediums.
• Oversee the creation of all branded materials, including apparel, printed, and promotional items.
• Ensures that website and other social presences align with the department’s operations calendar.
• Develop and utilize occupancy reports and other housing updates (e.g. applications, break housing data) for audiences as requested by the Director of Housing and Residential Life, BOT, Executive Leadership, etc.
• Utilize reports and other functions in Housing portal with responsibility for the visual and graphic elements.
• Manage phone and email correspondence with students, parents, and other offices regarding questions related to room assignments, ensuring timely and consistent correspondence.
• Provide support during university large-scale events (orientation/OAR, Fab Fridays, Open House, Tours) department/division wide events, etc.); may present at these events.
• Serving as contact for campus partners such as Global Engagement and Student Disability Services regarding housing assignments for their students.
• Collaborate with Disability Services and departmental staff to make decisions regarding ESA policies including emotional support animal process approvals.
• Establish and maintain relationships with the following areas related to housing assignments and timelines: Residence Life, Athletics, Disability Services, Care and Support, Financial Aid, Auxiliary Services, Bursar, Facilities, and Institutional Research.
• Oversee facilitation of contract meetings and summer stakeholder meetings.
• Collaborate with internal and external stakeholders regarding summer operations.
• Maintain up-to-date information in applicable Summer Databases to ensure accuracy for planning, billing, etc.
• Manage the interviews, selection, supervision and evaluation of the ACUHO-I Summer Intern for Operations. Develop intern in their housing competency in operations.
• Assist with the logistics of summer housing turns (both spring to summer AND summer to fall).
• Assist with the logistics of the early arrival process in August including early arrival check-in of fall sport athletes.
• Coordinate the MoveUP Process (volunteer recruitment and assignments of those assisting with MoveUP).
• During assigned on-call shifts, be accessible by the department provided cell phone (includes university holidays and break periods).
• Be available on a call-to-duty status whenever residence halls are in operation and assist Residence Life staff with residence hall and campus emergencies
• Work with stakeholders, including the University Police Department and Student Counseling Center, to respond to student concerns or incidents within the residence halls.
• Ensure accurate reporting and provide follow-up as necessary with student and parent concerns.
• Comply with institutional, local, state, and federal mandates regarding emergency and crisis response.
• Other duties as assigned
Qualifications: Bachelor’s degree in relevant field and three years of full-time experience working in a college student housing program and/or related experience required. A successful background check is required.
Salary: $41,258 – $43,888; Salary commensurate with education and experience.
