The Executive Assistant to the Dean for College of Education, Human Performance, and Health is responsible for providing a broad range of administrative assistance to the faculty, department chairs, dean, and associate dean of the College of Education, Human Performance, and Health, with a particular focus on the administrative needs of the Office of the Dean. Able to apply policies, manage calendars, balance priorities, work with limited supervision in the carrying out internal working procedures, maintain confidentiality, and interact in a positive manner with students, faculty, other University departments, and the public. This position requires a high level of organization, attention to detail, and regular attendance.

  • Primary Administrative Support Assistance of the Dean: Executes extensive duties associated with the administration and management of the Dean’s office requiring high levels of organization, discretion, and personal responsibility with little or no supervision; handles sensitive faculty, staff, and student issues professionally and maintains accurate records of all interactions; coordinates a variety of programs, partnerships, and events for the Dean’s office; Manage phone and electronic communications on behalf of the Dean and College with both internal and external stakeholders in a timely manner.
  • Acts as the primary contact between the Dean’s office and the College’s departments and communications on behalf of the Dean and College with both internal and external stakeholders in a timely and professional manner and leads on matters of compliance with University procedures and processes; coordinates monthly chair/directors meetings; coordinates various committees for the Dean by organizing meetings, luncheons, and presentations; maintains positive working relationships with other departments, schools, and outside organizations. Responsible for documentation of College meeting minutes. Monitors facilities needs and manages requests related to repairs, materials, and office supplies.
  • With the Dean, manages the office’s budget and monitors all budgets within the College and acts as liaison between the College and the Academic Affairs Budget Manager; holds a University purchasing card and complies with all policies and procedures; plans and manages travel arrangements and reimbursements for the Dean and guests of the college. Assist faculty with TAPS applications, travel, and reimbursements. Serves as the purchasing card liaison for the departments in the College.
  • Acts as liaison between the College and the Academic Affairs HR Coordinator on processes related to hiring and search, faculty records, and annual reviews and evaluations. Prepares and manages hiring and pay processes: Maintains personnel files for the academic unit.
  • Provides support to administrative staff in the College with training/orientation; provides back-up support with administrative duties for other departments/divisions/centers as needed. Assists the Dean with special projects and events, reporting, and data collection.
  • Other duties as assigned by the Dean.

Minimum Qualifications: Bachelor’s degree, or high school diploma and 4 years work experience that is directly related to the area of employment; or equivalency. Successful background check is required.
