Executive Administrative Assistant

The position reports directly to the Executive Director and performs multiple administrative duties, including working closely with the Board of Commissioners and providing additional support as needed to the Directors of Finance and Administration and Customer Service.

Position Responsibilities- Essential
• Manage scheduling for the Executive Director, including mail, email, phone calls, and client interfacing.
• Maintain strict confidentiality.
• Works directly with the Board of Commissioners and other elected officials.
• Coordinate calendars of the Executive Director and Board of Commissioners.
• Schedule meetings, appointments and manage travel itineraries.
• Prepare internal and external documents for team members and industry partners.
• Assist in maintaining an organized filing system of paper and electronic documents.
• Maintain a filing system for all Executive Director or Commissioner correspondence and/or public records.
• Board of Commissioners: Reserve the appropriate onsite meeting room, prepare the monthly meeting agenda, and prepare the
official meeting minutes.
• Prepare agendas and minutes for various meetings involving the Executive Director.
• Arrange corporate events internally and externally, such as fundraising and staff appreciation events.
• Coordinate with the vendors that maintain the buildings and grounds.
• Collaborate with the Executive Director on the Administrative Budget to maintain an updated Excel spreadsheet.
• Order office supplies for all departments.

Position Responsibilities- Non-Essential/Other
• Serve on committees as needed, such as miscellaneous community committees, the Chamber Events Committee, and the Employee
Enrichment Committee.
• Serve as the United Way Workplace Coordinator.
• Other duties as assigned.

Essential Skills and Experience
• Valid SC driver’s license.
• Minimum of 5 years of experience as an Executive Assistant reporting directly to senior management
• Bachelor’s Degree Preferred; High school Diploma or GED accepted with 7+ years experience as an Executive Assistant reporting
directly to senior management.
• Ability to stand for extended periods of time
• Ability to sit for extended periods of time
• Excellent computer skills (Word, Excel, PowerPoint, Publisher, Outlook, Adobe)
• Strong organizational and problem-solving skills with multi-tasking abilities
• Excellent verbal and written communication skills
• Ability to sustain a level of professionalism among staff and clientele
• Ability to interact positively with the public and communicate in a calm, orderly, non-threatening manner
• Confidence in the Public Speaking
• Positive, professional, and team-oriented personality and appearance
• Professional demeanor with the ability to work well with others in a fast-paced environment and the ability to adapt quickly and
easily to changes
• Proficiency in collaboration and delegation of duties
• Excellent attention to detail and sense of urgency, ability to prioritize with an emphasis on quality and accuracy of work
• Stable work history
• Regular and sustained attendance
• Available to occasionally work beyond regularly scheduled hours based on corporate and community events.
