Provide administrative assistance to the Vice Chancellor for Finance and Administration, and as needed in the areas managed by the Vice Chancellor, which include Bookstore, Budget and Resource Planning, Facilities Management, University Police, Bursar’s Office, Purchasing, and Professional Development.
• Provide clerical support to the Vice Chancellor for Finance & Administration in managing the day-to-day operations of the department (ex. maintain calendar and activities of the office; process invoice payments through PeopleSoft; evaluate requests and operational demands for information required by other administrative offices; facilitate and coordinate in a professional manner support services as required by the office to provide maximum utilization of time to meet schedules and project deadlines.
• Evaluate a variety of business documents and assess work requirements, scheduling activities and workflow to provide financial and business information. Produce financial spreadsheets and analytical reports as required by the Vice Chancellor.
• Make travel arrangements for the Vice Chancellor for Finance & Administration; process TAs and Expense Reports in PeopleSoft.
• Provide clerical support as needed by other offices of Finance & Administration, e.g. purchasing office supplies, completing and submitting PeopleSoft payment requests and travel documents, and making other purchases as needed.
• Process and submit Payment Requests for charges (other than those paid by the Chancellor’s Office) for the Commission on Higher Education.
• Maintain VISA State purchasing card account records.
• Coordinate contracts, MOUs and FOIA request reviews with USC legal office. Coordinate review for signature chancellor signatures and routing for signatures with chancellor office.
Minimum Required Education and Experience: Requires a bachelor’s degree in a job-related field and 2 or more years of job-related experience, which may be substituted by an equivalent combination of job-related certification, training, education, and/or experience. A successful background check is required.
Preferred Qualifications: Bachelor’s degree and 5 years related experience in business management, public administration, or administrative services; or equivalency. Microsoft WORD, Microsoft Outlook, Microsoft PowerPoint and Microsoft Excel.
Salary Range: $45,133 – $50,615; Salary commensurate with education and experience.
