The administrative assistant for The Beatty Center coordinates the daily and recurring operations of the CHAMPS Beatty Center, a new medical legal partnership housed at USC Upstate.
• Coordinate logistical aspects of trainings for medical professionals and internships by maintaining event calendars, scheduling rooms, preparing materials, and assisting with catering arrangements in accordance with established procedures. Attend center meetings and assist with planning, scheduling, and executing center events as directed. Provide day-to-day administrative guidance to interns and student participants regarding schedules and required documentation.
• Perform administrative duties for the Director, The Beatty Center, including reception, answering telephone calls, disseminating information, handling mail, and managing office supplies. Maintain calendars and provide routine administrative assistance to support Center operations.
• Assist with marketing efforts and maintain webpage and social media content by posting updates and materials as directed in accordance with established communication guidelines.
• Process payment requests, purchase orders, expense reports, deposits, and travel reimbursements for faculty, staff, and students, ensuring adherence to state and university policies and procedures. Coordinate vendor registration and maintain accounts for new and existing suppliers. Coordinate routine Center purchases, such as office supplies and marketing materials, using the appropriate university processes.
• Assist in monitoring institutional and grant budgets on a monthly basis by maintaining tracking spreadsheets, reconciling posting discrepancies, and preparing routine reports for review by Center leadership.
• Assist with hiring processes, onboarding documentation, scheduling, and time tracking for student employees, graduate students, and interns. Provide day-to-day administrative support and guidance in accordance with established Center procedures.
• Other duties as assigned by the director.

Job Related Minimum Required Education and Experience: Typically holds a high school diploma or GED. Requires 1 or more years of job-related experience. A successful background check is required.

Preferred Qualifications: Experience working in social work, legal, healthcare, or higher education environments is desirable.

Salary: $36,608; Salary commensurate with education and experience.

Knowledge/Skills/Abilities:
• Effective organization and time-management skills, and the ability to meet deadlines.
• Working knowledge of Microsoft Word, Outlook, and Excel, as well as general office equipment, is required.
• Basic social media knowledge, skills, and knowledge.
• Ability to handle confidential information and sensitive situations appropriately.
• Able to coordinate event aspects for trainings– catering, room setup, and communication.
