Under administrative direction, performs financial transactions, including the posting of accounts payable invoices from vendors, cash receipts, expense reimbursement and other documents to PeopleSoft (PS). Assist with administrative and basic accounting tasks. Be able to work with minimal supervision.
Supports the Upstate Budget Office Athletics Division in the processing of Accounts Payable Vouchers.
• Process invoices for payment via payment request system in PeopleSoft
• Ensure invoices are charged to the correct department and accounts
• Submit Travel and Non-Travel reimbursements and paperwork into PeopleSoft
• Pay monthly Verizon wireless Bill and maintain spreadsheet of monthly charges by sport/office.
• Reconcile Travel and other Cash Advances and work with Columbia Office to close them out.
• Process cash deposits and maintain files for audits and reviews.
Supports the Upstate Budget Office Athletics Division in procurements and the processing of Purchase Requisitions through to execution of purchase orders.
• Procurement Management
• Create purchase requisitions and include proper quotes, specifications and documentation. Follow-through to execution of purchase orders.
• Provide sole source documentation and prepare memos, as needed.
• Work closely with the Purchasing Office during the Bidding Process.
• Maintain purchase order balances and make requests for modifications including increases, decreases, close po’s.
• Purchase supplies for administrative units and athletic programs.
Supports the Upstate Budget Office Athletics Division in the processing of Team Travel cards, Purchasing Cards and the New Staff Travel Cards.
• Team Travel Card Liaison. Collect and verify team travel card receipts
• Match receipts to monthly team travel card statements
• Prepare expense reports in PeopleSoft and submit.
• New Staff Travel Card Liaison. Collect and verify travel card receipts
• Match receipts to monthly travel card statements
• Prepare expense reports in PeopleSoft and submit.
• Purchasing Card Liaison. Collect and verify travel card receipts
• Match receipts to monthly travel card statements
• Prepare expense reports in PeopleSoft and submit.
• Communicate with the Columbia Travel Office regarding troubleshooting issues.
• File monthly credit card statements and receipts.
• Department Travel Card holder.
Supports the Athletics Division as HR contact.
• Prepare contracts for new coaches; monitor and prepare coaches extension letters and contract extension forms each year or as needed
• Process new and rehire paperwork specific to the department of athletics temp/exempt positions.
• Coordinate with the university’s Human Resources Office in regard to department FTE positions.
• Coordinate with the university’ Human Resources Office concerning hire and termination documentational and procedures.
• Process all undergraduate student employment and graduate assistantships.
• Maintain electronic database and hard copy file cabinet of personnel documents.
Supports the Upstate Budget Office Athletics Division with special projects and other assigned duties.
• Draft memos and correspondence to address internal policy and procedural requirements
• Assist in preparation of monthly and quarterly budget reports, as assigned
• Maintain financial data in spreadsheets and provide general analysis and/or historical data, as requested.
• Assist with the preparation of journal entries, journal voucher eforms and expense module correction forms, as needed.
• Assist with data entry and research in preparation for the annual financial audit and NCAA annual report, as needed.
• Assist with data entry, filing and other duties as assigned.
• Submit and maintain annual PCI Compliance policies.
Minimum Qualifications:
Bachelor’s degree in business management or accounting, or equivalent education and experience. A successful background check is required.
Salary:
$35,568 – $45,000; Salary commensurate with education and experience.
