Position Summary
The Worship Ministry Administrative Assistant provides administrative, technical, and organizational support to the Worship Ministry (Main and NextGen). This role partners closely with worship leadership (Worship Pastor and NextGen Worship Pastor) to support worship services, rehearsals, special events, and volunteer teams through effective systems management, communication, and coordination.
Essential Duties & Responsibilities
Administrative & Systems Support
- Maintain accurate worship attendance, team rosters, and records using Rock RMS
- Serve as Planning Center administrator for worship, including scheduling, service templates, and team management
- Upload and manage worship resources and music as needed
- Provide Planning Center training and support to staff and volunteers
Scheduling & Coordination
- Manage worship calendars, room requests, and rehearsal schedules
- Coordinate logistics for worship services and seasonal events (e.g., Christmas Eve, Easter, Good Friday, Breakthrough)
- Support Worship Choir scheduling, rehearsals, and related communications
Communication & Volunteer Support
- Assist with worship ministry communications, announcements, and mass emails
- Follow up with worship leaders and volunteers regarding schedules and confirmations
- Coordinate Sunday morning hospitality for worship and production volunteers
Financial, Compliance & Resource Support
- Support Worship Ministry with budget planning, MAPS, etc.
- Assist with purchasing requests, budget tracking, and expense processing
- Help manage worship-related licenses to ensure compliance
- Support background checks and volunteer compliance requirements
Ministry & Event Support
- Assist with worship events, leader gatherings, and conferences
- Attend and support worship-related meetings as requested
- Provide general administrative support to Worship Leadership
Qualifications
- Strong organizational, administrative, and communication skills
- Ability to manage multiple priorities with attention to detail
- Experience with Planning Center and church management systems preferred
- Proficiency with basic office technology and software
- Heart for ministry and serving staff and volunteers
- Alignment with Brookwood Church’s mission, values, and beliefs
