Position Summary

The Administrative Assistant – Outreach Ministries provides high-level administrative and relational support to the Outreach Director and plays a vital role in helping Brookwood Church extend care, connection, and Christ-centered impact to our church and community. This position supports the Recreation Ministry, Special Needs Ministry, and Local Outreach, ensuring smooth operations, excellent communication, and thoughtful coordination across multiple ministry areas.

The ideal candidate is highly people-oriented, exceptionally detail-driven, and thrives in a dynamic ministry environment. This role requires flexibility, a servant’s heart, and the ability to manage multiple priorities while supporting both staff and volunteers with excellence and warmth.


Key Responsibilities

Administrative & Operational Support

  • Provide direct administrative support to the Outreach Director, including calendar management, scheduling, meeting coordination, and follow-up.
  • Assist with day-to-day administrative needs for Recreation, Special Needs, and Local Outreach ministries.
  • Maintain organized records, databases, rosters, registrations, and documentation for ministries and events.
  • Prepare correspondence, reports, agendas, and ministry communications as needed.

Ministry & Event Coordination

  • Support planning and execution of ministry events, classes, leagues, respite nights, outreach projects, and community partnerships.
  • Assist with event logistics such as registrations, room reservations, supplies, volunteer schedules, and follow-up communication.
  • Coordinate details for meetings, trainings, and special events, including occasional evenings and weekends.

Communication & People Care

  • Serve as a friendly and helpful point of contact for church members, volunteers, families, and community partners.
  • Respond to phone calls, emails, and in-person inquiries with professionalism, warmth, and clarity.
  • Support clear and timely communication between the Outreach Director, ministry leaders, staff, and volunteers.

Data, Finance & Systems Support

  • Assist with budget tracking, purchase requests, reimbursements, and expense documentation.
  • Maintain accurate data in church management systems related to volunteers, attendance, and outreach engagement.
  • Support ministry reporting and help ensure deadlines and compliance requirements are met.

Working Conditions

  • Full-time position.
  • Availability required for occasional evenings and weekends to support events and ministry needs.
  • Office-based with frequent interaction with staff, volunteers, and families.
  • Must pass a background check and comply with Brookwood Church policies.

Preferred Qualifications

  • Previous administrative or ministry support experience.
  • Experience working with volunteers or in a church or nonprofit setting.
  • Comfort supporting events and programs involving children, individuals with special needs, and community partners.
